What Do Restaurant Uniforms Cost in India? A Planning Guide for Owners

We are asked for a price per shirt more often than any other question, and it is the wrong question. A shirt is not a shirt: a 140 GSM polyester import and a 200 GSM poly-cotton with a fused collar and an embroidered crest are different products that happen to share a name. Here is what actually drives a uniform budget, and how to plan one.

The five cost drivers

  1. Fabric. The largest single line. GSM, blend, dye quality and mill origin all move it. The gap between a uniform that lasts eight months and one that lasts two years is usually here.
  2. Construction. Double-stitched seams, bar-tacked stress points, fused collars, reinforced pockets, lined waistcoats. These add modestly to unit cost and multiply garment life.
  3. Branding. Embroidery is priced by stitch count, so a dense logo costs more than a simple one. Screen printing has a per-colour setup cost that disappears at volume. Patches add material cost.
  4. Quantity. The biggest lever. Pattern making, digitisation and screen setup are one-time costs; spreading them across 200 pieces instead of 20 changes the per-piece number dramatically.
  5. Customization complexity. Contrast panels, piping, custom buttons, individual tailoring and multiple colourways each add process steps.

How to structure an opening order

For a new restaurant, work role by role rather than by total headcount:

  • Kitchen: 3 chef coats, 2 aprons, 2 caps per person. Plus 2 waterproof aprons for the outlet.
  • Service: 3 tops, 2 aprons, 1 name badge (plus spares) per person.
  • Housekeeping: 3 sets, 2 utility aprons per person.
  • Bar: 3 shirts, 2 bar aprons per person.
  • Managers: 2 waistcoats or 1 blazer, plus service shirts.
  • Spares: 10 to 15 percent extra in the two most common sizes, in every category.

That spare stock is the line most people cut and the one they regret first: it is what lets a new hire start on Monday looking like everyone else.

Replacement cycles to plan around

Tops in daily service: 9 to 12 months. Aprons: 12 to 18 months. Chef coats: 12 months. Waistcoats and blazers: 2 to 3 years. Winterwear: 2 to 3 seasons. Name badges: replaced by role, not by wear.

The cheapest uniform is the one you do not have to reorder in eight months. Fabric weight is where that decision gets made.

Three ways to reduce cost without cheapening the uniform

  • Consolidate. One annual order across all roles beats four quarterly ones, and gives you a single dye lot.
  • Simplify the branding. A one-colour embroidered crest looks more premium than a three-colour print and costs less.
  • Standardise the base. One shirt block in four colours is cheaper than four different garments and reads more deliberate on the floor.

How many uniform sets should I budget per person?

Three tops and two aprons per front-of-house and kitchen staff member, plus 10 to 15 percent spare stock in common sizes. Uniforms with a lower wash frequency, such as waistcoats and winterwear, need only one or two per person.

Is it cheaper to order uniforms once a year or as needed?

One consolidated annual order is almost always cheaper and more consistent. Setup costs (embroidery digitisation, screen preparation, pattern making, fabric minimums) are charged per run, and a single dye lot guarantees shade consistency across the team.
